Privacy Policy

OVI Systems, LLC ("OVI," "we," "us," or "our") operates the OVI platform at ovisystems.com and app.ovisystems.com. This policy explains what information we collect, why we collect it, and what we do with it. We keep things deliberately minimal.

1. Information we collect

• Contact form submissions. When you use the "Get in Touch" form, we collect your name, email address, organization (if provided), and the message you send.
• Account information. A purchase creates your account. We store the email address, name, and account details (such as your rating and access term) needed to provide the service.
• Payment information. Payments are handled by our third-party payment processor. We receive confirmation of your purchase and limited billing details, but we never see or store your full card number.
• Usage data. When you visit ovisystems.com, our analytics tools log metrics such as page views, referring site, approximate location, device type, and time on page. We also use a session-analytics tool that captures how visitors interact with pages (scrolling, clicks, navigation) so we can improve the site — it does not collect your name or contact details, and we never use it for advertising or cross-site tracking.
• In-app activity. While you use the OVI app, we store the questions you ask and the answers given so you can return to past conversations and so we can improve retrieval quality. This data is associated with your account.

2. How we use it

• To respond to inquiries you send us.
• To provide, secure, and improve the OVI service.
• To diagnose bugs and measure quality.
• To communicate with you about your account or material service updates.

We do not sell your personal information. We do not use your questions or conversations to train third-party AI models.

3. Service providers we rely on

We work with a small number of trusted third-party providers to run OVI. Each receives only the data it needs to perform its function, under agreements that limit their use of it to serving us. By category:

• Hosting and infrastructure — serving the website and app, and DNS.
• Visitor analytics — tools that measure site usage and how visitors interact with pages (including anonymized session analytics), used only to improve the site. No advertising profiles.
• Contact-form delivery — routes "Get in Touch" submissions to our inbox.
• Authentication and database — securely stores your account and application data.
• Payment processing — handles your purchase; we never receive your full card number.
• AI processing — third-party AI providers that generate answers. Your questions are sent to them to produce a response; per their terms, your prompts are not used to train their models.
• Business email — our company email (contact@ovisystems.com).

4. Cookies and tracking

The marketing site at ovisystems.com uses no advertising cookies. Our analytics may use a small identifier to recognize repeat visits and to group a visit's interactions into one session — used only to improve the site, never for advertising or cross-site tracking. The OVI app at app.ovisystems.com uses authentication cookies required to keep you signed in — these are strictly necessary for the service to function.

5. Data retention

We keep contact-form submissions for as long as they're useful for the business relationship. We keep account and conversation data while your account is active and for a reasonable period after closure in case you return. You can ask us to delete your data at any time.

6. Your rights

You can email contact@ovisystems.com at any time to:

• Request a copy of the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your data.
• Withdraw consent to further processing.

Residents of the EU/UK (GDPR) and California (CCPA) have these rights by law; we extend the same treatment to everyone.

7. Security

We use reasonable technical and organizational measures to protect your data — encryption in transit (HTTPS), encryption at rest via our providers, and access controls. No online service can be guaranteed 100% secure, but we take this seriously.

8. Children

OVI is intended for users 18 and older, and for younger student pilots only with a parent or legal guardian's involvement and consent. We do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has given us information, contact us and we will delete it.

9. International users

OVI is operated from the United States. If you access the service from elsewhere, your data will be transferred to and processed in the U.S. under the safeguards described above.

10. Changes to this policy

If we make material changes, we'll update the "last updated" date above and, where appropriate, notify you by email or in-app.
