Privacy Policy

OVI Systems ("OVI," "we," "us," or "our") operates the OVI platform at ovisystems.com and app.ovisystems.com. This policy explains what information we collect, why we collect it, and what we do with it. We keep things deliberately minimal.

1. Information we collect

• Contact form submissions. When you use the "Get in Touch" form, we collect your name, email address, organization (if provided), and the message you send.
• Account information. If you're invited to the beta, we store the email address, name, and tenant assignment needed to give you access.
• Usage data. When you visit ovisystems.com, Plausible Analytics logs aggregated, cookie-less metrics such as page views, referring site, approximate region, device type, and time on page. No personal identifiers, no cross-site tracking, no advertising profiles.
• In-app activity. While you use the OVI app, we store the questions you ask and the answers given so you can return to past conversations and so we can improve retrieval quality. This data is associated with your account.

2. How we use it

• To respond to inquiries you send us.
• To provide, secure, and improve the OVI service.
• To diagnose bugs and measure quality.
• To communicate with you about your account or material service updates.

We do not sell your personal information. We do not use your questions or conversations to train third-party AI models.

3. Service providers we rely on

We use a small number of vendors to run OVI. Each receives only the data it needs to perform its function:

• Cloudflare — website hosting and DNS.
• Plausible Analytics — cookieless, privacy-first visitor analytics. Data stays in the EU.
• Formspree — delivers contact-form submissions to our inbox.
• Supabase — authentication and application database.
• Google (Gemini), Anthropic (Claude) — AI model providers used inside the OVI pipeline. Your questions are sent to these providers to generate answers. Per their enterprise terms, your prompts are not used to train their models.
• Google Workspace — our business email (contact@ovisystems.com).

4. Cookies and tracking

The marketing site at ovisystems.com uses no advertising cookies and no third-party trackers. Plausible Analytics is cookieless. The OVI app at app.ovisystems.com uses Supabase authentication cookies required to keep you signed in — these are strictly necessary for the service to function.

5. Data retention

We keep contact-form submissions for as long as they're useful for the business relationship. We keep account and conversation data while your account is active and for a reasonable period after closure in case you return. You can ask us to delete your data at any time.

6. Your rights

You can email contact@ovisystems.com at any time to:

• Request a copy of the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your data.
• Withdraw consent to further processing.

Residents of the EU/UK (GDPR) and California (CCPA) have these rights by law; we extend the same treatment to everyone.

7. Security

We use reasonable technical and organizational measures to protect your data — encryption in transit (HTTPS), encryption at rest via our providers, and access controls. No online service can be guaranteed 100% secure, but we take this seriously.

8. Children

OVI is designed for pilots and aviation professionals. It is not directed at anyone under 16, and we do not knowingly collect data from anyone under 16.

9. International users

OVI is operated from the United States. If you access the service from elsewhere, your data will be transferred to and processed in the U.S. under the safeguards described above.

10. Changes to this policy

If we make material changes, we'll update the "last updated" date above and, where appropriate, notify you by email or in-app.
